Please read these terms carefully before using VectoredOps.

1. Acceptance of Terms
By accessing or using VectoredOps (“Service”), operated by VectoredOps Inc. (“Company,” “we,” “us,” or “our”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, you may not access or use the Service.
These Terms constitute a legally binding agreement between you and VectoredOps Inc. By creating an account, accessing our website at vectoredops.com, or using any of our services, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference.
You must be at least 18 years of age, or the age of majority in your jurisdiction, to use this Service. By using the Service, you represent and warrant that you meet this requirement. The FAA requires a minimum age of 16 for a student pilot certificate and 17 for a private pilot certificate; however, use of this platform requires you to be at least 18 or have the consent of a parent or legal guardian.
2. Description of Service
VectoredOps provides a cloud-based aviation training retention and supplemental study platform designed to help student pilots organize their learning, debrief flights, and improve knowledge retention through AI-assisted tools.
Our Service includes features such as:
- AI-powered post-flight debrief analysis and transcription
- Spaced-repetition flashcards and study plans
- Checkride preparation tools and mock oral exams
- Flight tracking and progress analytics
- Knowledge hub with FAA resources
- Instructor-student collaboration tools
- Community forum and peer learning
- Integration with third-party services for authentication and flight data
Important: VectoredOps is a supplemental training aid only. We are NOT a Part 61 or Part 141 flight school, NOT a Certified Flight Instructor (CFI), and NOT an official system of record for aviation logbooks under FAA regulations. Users are responsible for maintaining their official training records and flight logs in accordance with applicable FAA regulations in a separate, authorized system.
Assumption of Risk and Inherent Dangers of Aviation
Aviation, including flight training, involves inherent and significant risks including but not limited to: serious bodily injury, permanent disability, and death. These risks exist regardless of the training methods, tools, platforms, or technologies used in connection with your flight training.
By using VectoredOps, you acknowledge and accept that:
- Flight training is inherently dangerous and involves risks that cannot be fully eliminated;
- VectoredOps is a supplemental study and training retention tool and does not control, supervise, or conduct any flight operations;
- All aeronautical decision-making, including the decision to fly, remains solely with the Pilot in Command (14 CFR 91.3);
- You voluntarily assume all risks associated with flight training, flight operations, and any use of information obtained from this platform in connection with aviation activities;
- You have not relied upon and will not rely upon VectoredOps as a substitute for the judgment of your Certified Flight Instructor, Designated Pilot Examiner, or any other qualified aviation professional.
This assumption of risk applies to all aspects of your use of the Service, including but not limited to AI-generated content, readiness assessments, study recommendations, oral exam practice, radio communication practice, and any other feature of the platform.
3. User Accounts and Registration
To access certain features of the Service, you must create an account. You may register using your email address or through third-party authentication providers such as Google.
Account Responsibilities
When creating an account, you agree to:
- Provide accurate, current, and complete information during registration
- Maintain and promptly update your account information
- Maintain the security of your account credentials
- Accept responsibility for all activities under your account
- Notify us immediately of any unauthorized use of your account
You may not use another person's account without permission. We reserve the right to suspend or terminate accounts that violate these Terms.
Account Types
VectoredOps offers two primary account types: Student and Instructor. Your account type determines the features available to you and the data you can access.
- Student accounts provide access to study tools, debriefs, checkride prep, and personal progress tracking.
- Instructor accounts provide access to student management, debrief creation, and teaching analytics. Instructors may also access student features (dual-role access).
Instructor-Student Relationships
Students may be linked to one or more instructors on the platform. Linked instructors can view the student's training data, debriefs, and progress within the Service. Students may unlink from an instructor at any time. VectoredOps is not responsible for the instructor-student relationship itself, which is governed by your arrangement with your flight school and instructor.
4. Acceptable Use Policy
You agree not to use the Service to:
- Violate any applicable laws or regulations
- Infringe upon the rights of others, including intellectual property rights
- Transmit harmful, offensive, threatening, or inappropriate content
- Attempt to gain unauthorized access to the Service or its systems
- Interfere with or disrupt the Service, servers, or connected networks
- Use the Service for any illegal or unauthorized purpose
- Collect or harvest user data without consent
- Impersonate any person or entity
- Use automated systems, bots, scrapers, or crawlers to access the Service without written permission
- Attempt to reverse engineer, decompile, or disassemble any part of the Service
- Circumvent, disable, or interfere with security features of the Service
- Use the AI features to generate content that is misleading, fraudulent, or intended to deceive aviation authorities
- Submit fabricated flight data, training records, or endorsements to the Service
We reserve the right to investigate and take appropriate action against anyone who violates this policy, including removing content, suspending or terminating accounts, and reporting violations to law enforcement authorities.
Not For In-Flight Use
VectoredOps is a ground-based study and training retention tool. The Service, including all content, features, assessments, and AI-generated material, is NOT intended for use during flight operations. You agree that you will not access or use VectoredOps during any phase of flight (taxi, takeoff, cruise, approach, or landing). VectoredOps content is not for navigation, is not for operational decision-making, and is for ground-based study and reference only.
5. AI-Generated Content and Limitations
The Service uses artificial intelligence to provide debrief analysis, study plan generation, flashcard creation, oral exam practice, knowledge hub responses, and other educational features.
AI Output Disclaimers
- AI-generated content is supplemental and educational only. It does not constitute flight instruction, official FAA guidance, or professional advice.
- AI outputs may contain errors, inaccuracies, or outdated information. You are responsible for independently verifying all information, especially information related to flight safety, FAA regulations, and aeronautical decision-making.
- AI analysis of flight debriefs reflects pattern recognition, not professional flight instruction judgment. Always defer to your Certified Flight Instructor for training guidance.
- AI-generated study plans, flashcards, and oral exam questions are study aids, not official FAA knowledge test preparation materials.
No Consequential Decisions
VectoredOps AI does not make consequential decisions about your training progression, certification eligibility, or flight safety. All such decisions rest with your Certified Flight Instructor, Designated Pilot Examiner, and the FAA.
CFI Instruction Precedence
In the event of any conflict or inconsistency between information provided by VectoredOps — including AI-generated analysis, study recommendations, readiness assessments, oral exam practice content, radio communication guidance, or any other platform output — and the instruction of your Certified Flight Instructor (CFI), Designated Pilot Examiner (DPE), or other qualified aviation professional, you must always follow your CFI's instruction.
VectoredOps does not have knowledge of your specific aircraft, local conditions, personal medical status, current weather, or the specific training context of your flight. Your CFI does. Their judgment supersedes any output of this platform in all circumstances.
Human Review
You may request human review of any AI-generated content by contacting us at [email protected].
6. Audio Recordings
The Service allows users to record audio during flight debriefs. By using the audio recording feature, you acknowledge and agree to the following:
- Consent: You initiate all audio recordings voluntarily. You are solely responsible for obtaining consent from any other individuals whose voices may be captured in the recording, as required by applicable law.
- Processing: Audio recordings are transmitted to third-party transcription services for conversion to text. The resulting transcript is then analyzed by AI services to generate debrief summaries and insights.
- Storage: Audio files and transcripts are stored while your account is active and are deleted upon account deletion.
- Two-Party Consent States: If you are located in a state that requires all-party consent for recordings (including but not limited to California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Oregon, Pennsylvania, and Washington), you must inform and obtain consent from all participants before recording.
- No Voiceprints: We do not create, store, or use voiceprints or biometric identifiers from audio recordings.
7. Intellectual Property Rights
Our Content
The Service and its original content, features, and functionality are owned by VectoredOps Inc. and are protected by international copyright, trademark, patent, trade secret, and other intellectual property laws. All text, graphics, logos, icons, images, audio clips, software, and other materials on the Service are our property or licensed to us. You may not reproduce, distribute, modify, or create derivative works without our express written permission.
Your Content
You retain ownership of any content you submit to the Service, including debrief notes, audio recordings, forum posts, and other user-generated content. By submitting content, you grant us a non-exclusive, worldwide, royalty-free, sublicensable license to use, store, process, reproduce, and display that content solely for the purposes of:
- Providing and improving the Service to you
- Generating AI-powered analysis, summaries, and educational content from your data
- Creating anonymized, aggregated datasets for product improvement, educational research, and machine learning model training (as described in our Privacy Policy)
This license continues for anonymized and aggregated data even after account deletion, as anonymized data cannot be re-identified to any individual.
AI-Generated Content Ownership
AI-generated content produced by the Service in response to your inputs (such as debrief analyses, study plans, and flashcards) is provided for your personal, non-commercial educational use. You may use AI-generated content for your own flight training purposes. You may not resell, redistribute, or commercially exploit AI-generated content from the Service.
DMCA and Copyright Complaints
If you believe content on the Service infringes your copyright, please send a written notice to [email protected] including: (1) a description of the copyrighted work, (2) the location of the allegedly infringing material, (3) your contact information, (4) a statement of good faith belief, and (5) a statement under penalty of perjury that the information is accurate and you are authorized to act on behalf of the copyright owner.
8. Community Content and Forums
The Service may include community features such as forums, discussion boards, and peer learning tools. When using community features, you agree to:
- Post content that is relevant, respectful, and appropriate for an educational aviation context
- Not post content that is defamatory, harassing, threatening, obscene, or otherwise objectionable
- Not share personal information of other users without their consent
- Not post spam, advertisements, or commercial solicitations
- Not impersonate other users, instructors, or FAA officials
We reserve the right to remove any community content at our sole discretion and without notice. Community content represents the views of the individual poster, not VectoredOps. We do not endorse, verify, or guarantee the accuracy of user-posted content.
Reporting: If you encounter content that violates these Terms, you may report it using the in-app reporting tools or by contacting [email protected].
9. Third-Party Services
The Service integrates with or relies on third-party services for certain functionality, including:
- Authentication providers (e.g., Google OAuth) for secure sign-in
- Payment processors for subscription billing and payment management
- AI service providers for debrief analysis, transcription, and learning assistance features
- Cloud infrastructure providers for hosting and data storage
- Flight data providers for optional flight tracking integrations (user-initiated connections)
- Analytics and error monitoring providers for platform stability
We are not responsible for the content, privacy policies, or practices of third-party services. Your use of third-party services is governed by their respective terms and policies. We encourage you to review the terms and privacy policies of any third-party services you access through our Service.
We may add, remove, or change third-party service providers at any time without notice, provided the core functionality of the Service is maintained.
10. Payment, Subscription, and Refunds
Subscription Plans
Certain features require a paid subscription. Subscription fees are billed in advance on a monthly, annual, or lifetime basis depending on the plan selected. Current pricing is displayed on our Pricing page. We reserve the right to change pricing at any time with 30 days' notice to existing subscribers.
Free Trial and Promotions
We may offer free trials or promotional pricing from time to time. At the end of a free trial, your subscription will automatically convert to the paid plan unless you cancel before the trial period ends. Promotional pricing is subject to the specific terms communicated at the time of the offer.
Auto-Renewal
Monthly and annual subscriptions automatically renew unless cancelled before the renewal date. You authorize us to charge the payment method on file for renewal fees. Lifetime plans do not renew.
Cancellation
You may cancel your subscription at any time through your account settings or by contacting us. Cancellation takes effect at the end of the current billing period. You will continue to have access to paid features until the end of the period you have already paid for.
Refunds
We do not provide prorated refunds for partial subscription periods. If you believe you have been charged in error, contact us at [email protected] within 30 days of the charge.
11. Guarantee Programs
VectoredOps offers guarantee programs to eligible subscribers. These guarantees are subject to specific eligibility requirements and terms.
100% Checkride Pass Guarantee
If you complete the VectoredOps program requirements and fail your Private Pilot checkride, we will refund your VectoredOps subscription payments in full.
Eligibility requirements include: completing a minimum number of AI debriefs, flashcard study sessions, and achieving a minimum score on the checkride readiness assessment. An active paid subscription must be maintained throughout your training. Full eligibility details are available on our Guarantee page.
General Guarantee Terms
- Guarantees activate automatically for eligible subscribers — no separate enrollment required.
- You must maintain an active paid subscription throughout your training period to remain eligible.
- Claims must be submitted within 30 days of the applicable event (failed checkride).
- VectoredOps reserves the right to verify eligibility through platform activity data before processing claims.
- Guarantee benefits are limited to one claim per guarantee type per user.
- We reserve the right to modify guarantee terms with 30 days' notice. Changes will not affect claims already in progress.
12. Instructor Dual-Role Access
Instructors with an active VectoredOps Instructor subscription receive complimentary access to Student features using the same account. This allows instructors to experience the student journey and continue their own flight training development.
Eligibility
To maintain Student feature access after the initial grace period, Instructors must:
- Maintain an active Instructor subscription
- Have referred at least one (1) student to VectoredOps
- Have at least one (1) actively training student within the past twelve (12) months
New Instructor accounts receive a 12-month grace period for Student feature access without requiring an active student referral.
13. Data Usage and Anonymization
Our collection, use, and protection of personal data is governed by our Privacy Policy. By using the Service, you consent to:
- The collection, use, and sharing of your information as described in our Privacy Policy
- The transfer and processing of your data in the United States
- Receiving communications from us related to your account and the Service
Anonymized and Aggregate Data
We may anonymize and aggregate data collected through the Service for the following purposes: retention trend analysis, product improvement, educational research, and machine learning model training. Anonymized data cannot be re-identified to any individual and is not subject to individual deletion requests. Your use of the Service constitutes consent to this anonymization and use.
Security
We implement industry-standard security measures including AES-256 encryption for data at rest and TLS 1.2+ for data in transit. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
14. Disclaimer of Warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not warrant that:
- The Service will be uninterrupted, secure, or error-free
- Results obtained from the Service will be accurate or reliable
- Any errors in the Service will be corrected
- The Service will meet your specific requirements
- AI-generated content will be accurate, complete, current, or suitable for any particular purpose
- The Service will be compatible with all devices, browsers, or operating systems
VECTOREDOPS IS NOT A SUBSTITUTE FOR PROFESSIONAL FLIGHT INSTRUCTION. ALL AERONAUTICAL DECISION-MAKING AND FLIGHT SAFETY REMAINS THE SOLE RESPONSIBILITY OF THE PILOT IN COMMAND. AI-GENERATED CONTENT IS NOT OFFICIAL FAA GUIDANCE AND SHOULD NOT BE RELIED UPON AS SUCH.
15. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, VECTOREDOPS INC. AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:
- Loss of profits, data, use, goodwill, or other intangible losses
- Damages resulting from unauthorized access to your account
- Damages resulting from interruption or cessation of the Service
- Damages resulting from third-party conduct on the Service
- Damages resulting from reliance on AI-generated content or analysis
- Damages related to flight training outcomes, checkride results, or aviation incidents
- Personal injury or property damage of any nature arising from your use of the Service
Our total aggregate liability for any claims arising from your use of the Service shall not exceed the greater of: (a) the amount you paid to us in the twelve (12) months preceding the claim, or (b) one hundred dollars ($100).
Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability. In such jurisdictions, our liability shall be limited to the greatest extent permitted by law.
16. Indemnification
You agree to indemnify, defend, and hold harmless VectoredOps Inc. and its officers, directors, employees, agents, and affiliates from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to:
- Your use of the Service
- Your violation of these Terms
- Your violation of any rights of another party
- Your content submitted to the Service
- Your recording of audio without obtaining required consent from all parties
- Your reliance on AI-generated content for flight training or safety decisions
17. Termination
Termination by You
You may terminate your account at any time through your account settings or by contacting us at [email protected]. If you have an active subscription, cancellation of the subscription does not automatically delete your account.
Termination by Us
We may suspend or terminate your account immediately, without prior notice, if you violate these Terms, engage in fraudulent activity, or for any other reason at our sole discretion. We will make reasonable efforts to notify you of termination via the email address associated with your account.
Effect of Termination
- Your right to use the Service ceases immediately upon termination.
- You may request an export of your personal data within 30 days of termination by contacting us. After 30 days, your data will be deleted in accordance with our Privacy Policy.
- Anonymized and aggregated data derived from your use of the Service will be retained as described in Section 13.
- Provisions that by their nature should survive termination shall survive, including intellectual property rights, warranty disclaimers, indemnification, limitation of liability, dispute resolution, and any outstanding payment obligations.
18. Governing Law and Dispute Resolution
Governing Law
These Terms shall be governed by and construed in accordance with the laws of the State of Texas, United States, without regard to its conflict of law provisions.
Informal Resolution
Before filing any formal legal action, you agree to first contact us at [email protected] to attempt to resolve the dispute informally. We will make good faith efforts to resolve the dispute within 30 days.
Binding Arbitration
If the dispute cannot be resolved informally, you and VectoredOps agree to resolve any claims relating to these Terms or the Service through final and binding arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules. Arbitration will be conducted in Taylor County, Texas, or at another mutually agreed location. The arbitrator's decision shall be final and binding and may be entered as a judgment in any court of competent jurisdiction.
Class Action Waiver
YOU AND VECTOREDOPS AGREE THAT EACH PARTY MAY BRING CLAIMS AGAINST THE OTHER ONLY IN YOUR OR ITS INDIVIDUAL CAPACITY, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS, CONSOLIDATED, OR REPRESENTATIVE ACTION. Unless both parties agree otherwise, the arbitrator may not consolidate or join more than one person's claims.
Small Claims Exception
Notwithstanding the above, either party may bring an individual action in small claims court for disputes within the court's jurisdiction.
Jurisdiction
For any matters not subject to arbitration, you consent to the exclusive jurisdiction of the state or federal courts located in Taylor County, Texas.
19. Service Availability and Modifications
We strive to maintain high availability of the Service but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.
We reserve the right to modify, suspend, or discontinue any feature or aspect of the Service at any time, with or without notice. We will make reasonable efforts to provide advance notice of material changes that may affect your use of the Service.
Force Majeure
We shall not be liable for any failure or delay in performing our obligations under these Terms due to causes beyond our reasonable control, including but not limited to: natural disasters, acts of government, internet or power outages, acts of terrorism, pandemics, labor disputes, or failures of third-party service providers.
20. Export and Sanctions Compliance
You agree not to use, export, or re-export the Service in violation of U.S. export control laws, trade sanctions, or other applicable international trade compliance requirements. You represent that you are not located in, under the control of, or a national or resident of any country subject to U.S. trade sanctions.
21. Changes to These Terms
We reserve the right to modify these Terms at any time. For material changes, we will provide at least 30 days' notice through one or more of the following: posting the updated Terms on this page, email notification, or in-app notification.
Your continued use of the Service after any changes constitutes acceptance of the updated Terms. If you do not agree to the modified Terms, you must stop using the Service and may terminate your account.
The “Last Updated” date at the top of this page indicates when these Terms were last revised. We encourage you to review these Terms periodically.
22. General Provisions
Severability
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid or unenforceable provision shall be modified to the minimum extent necessary to make it valid and enforceable.
Waiver
Our failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision. Any waiver must be in writing and signed by VectoredOps.
Entire Agreement
These Terms, together with our Privacy Policy and any other policies referenced herein, constitute the entire agreement between you and VectoredOps regarding the Service and supersede all prior agreements and understandings.
Assignment
You may not assign or transfer these Terms or your rights under them without our prior written consent. We may assign our rights and obligations under these Terms without restriction, including in connection with a merger, acquisition, or sale of assets.
No Third-Party Beneficiaries
These Terms do not create any third-party beneficiary rights. Nothing in these Terms is intended to confer any right or benefit on any person other than the parties hereto.

Acknowledgment
By using VectoredOps, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree to these Terms, please do not use our Service.
